what we collect, and why.

MMXXVI Pillar Property

This notice describes the personal information Pillar Property collects when you apply to rent a property we manage, how it is used, who it is shared with, and how long it is retained. Please read it together with our Privacy Policy.

I Who is collecting your information.

Your application is collected and assessed by the Pillar entity that manages the property you have applied for:

  • NSW properties — Pillar Property Group Pty Ltd (ABN 41 159 368 724; NSW Real Estate Licence 10021758)
  • QLD properties — The Trustee for Pillar Property Management Brisbane Trust (ABN 94 887 441 243; QLD Real Estate Licence 3951710)

Both entities are bound by the Privacy Act 1988 (Cth) and the Australian Privacy Principles, and by the privacy practices described in Pillar’s Privacy Policy.

II What we collect.

When you submit a rental application, we collect the information reasonably necessary to assess your suitability for the tenancy. This includes:

  • Identity and contact details — name, date of birth, residential and postal addresses, phone, email
  • Identification documents — driver’s licence, passport, Medicare card, visa documents, or equivalent (used to verify identity, not retained beyond the period required by law)
  • Employment and income — employer details, position, length of employment, income evidence (recent payslips or equivalent)
  • Tenancy history — previous addresses, length of tenancy, previous agents or landlords, and reference details
  • Household composition — number of occupants, pets (if any)
  • Emergency contact — name and contact details of one nominated person
  • Supporting documents — bank statements or similar, where you choose to provide them as evidence of capacity to pay (we encourage you to redact unrelated transactions)

We do not require, and you are not obliged to provide, information that is not relevant to assessing your application. If we ask for something that seems unrelated, please ask us why.

III Why we collect it.

The information is collected for the following purposes:

  • To assess whether you can meet the financial and other obligations of the tenancy
  • To verify your identity, to the standard required by trust account legislation
  • To prepare and manage the tenancy agreement if your application is successful
  • To communicate with you about your application and (if successful) the tenancy
  • To meet obligations under the Residential Tenancies Act 2010 (NSW) or the Residential Tenancies and Rooming Accommodation Act 2008 (Qld), as applicable

If you do not provide the information requested, we may not be able to assess or process your application.

IV Who we share it with.

To assess your application, we may disclose your information to:

  • The owner of the property you have applied for, for the purpose of considering your application
  • Your nominated referees, employers, and previous agents or property managers, for verification
  • Tenancy databases (TICA, NTD, or equivalent), where used to assess applications
  • Tenancy application platforms used to receive and process applications
  • Government bodies, regulators, or law enforcement, where required by law

If your application is successful, your information will be handled in accordance with our Privacy Policy and the terms of your tenancy.

If your application is unsuccessful, we retain the information only for the period required by law and for the management of any related dispute, after which it is securely destroyed or de-identified.

V Tenancy database listings.

Pillar may list a tenant on a tenancy database only in the narrow circumstances permitted by law, and only after the required notice and an opportunity to respond have been given.

If you wish to know whether your name appears on a tenancy database used by Pillar, you may request that information at any time by contacting us. Disputes about listings may be raised with the relevant database operator and, if not resolved, with NCAT (NSW) or QCAT (Qld) depending on the property location.

VI Your rights.

You have the right to:

  • Ask what information Pillar holds about you
  • Ask us to correct information that is inaccurate, out of date, or incomplete
  • Withdraw consent for non-essential uses of your information
  • Complain about how we have handled your information
